Internal tools and business process automation
Dashboards, internal apps and automations that connect your systems and replace the spreadsheet holding a process together. Our business process automation services take the retyping out of your team's week.
// projects from $2,500, one fixed quote before we start
- a key process runs on a spreadsheet only one person understands
- your team copies the same data between systems every day
- your tools don't share data, so nobody trusts the numbers
- off-the-shelf software almost fits, but only with workarounds
- an automation built in Zapier or Make keeps failing without telling anyone
- A map of the process as it runs today and as it will run, agreed with the people who do it
- An internal app or dashboard with the screens, roles and permissions your team needs
- Connections to the systems you already use, such as your online store, accounting software or customer database
- Automations that retry safely and alert a named person when something needs attention
- A log of every automated run, so you can see what ran and what failed
- Training for your team and written notes on how the pieces fit together
The spreadsheet that holds it all together
Most growing businesses have one. A spreadsheet that tracks orders, schedules or approvals, kept alive by the one person who understands its formulas. Around it, data gets copied by hand: from the online store into accounting, from the CRM (your customer database) into a weekly report, from emails into the job system. Each copy takes a few minutes and invites a mistake. Nobody is sure which number is right. When that one person is on vacation, the process slows down or stops. That’s usually when people start looking at business process automation services.
The catch is that a rushed fix creates new trouble. An automation fails without telling anyone, or runs twice and sends the same invoice two times. Off-the-shelf software promises to cover everything and ends up covering most things, with workarounds for the rest.
What we build
- Internal apps. Order desks, job schedulers, approval flows, stock and equipment trackers, customer records: screens built around one team’s daily work, with the right roles and permissions.
- Dashboards. One view of the numbers that matter, pulled live from your store, accounting, CRM and spreadsheets, so every meeting starts from the same figures.
- Integrations. Connections between the systems you already pay for, such as Shopify, QuickBooks or Xero, HubSpot or Salesforce, Google Workspace or Microsoft 365. Most connect through APIs (the interfaces software uses to talk to other software), so data moves on its own instead of being retyped.
- Workflow automation. The steps between systems: a new order creates an invoice, a signed contract opens a project, a form lands in the right person’s queue. Where a step needs judgment, such as reading a supplier’s PDF, it can use an AI feature with a person checking the result.
- Admin panels for your product. If you run your own software, the back office your support and operations staff work in.
Senior engineers build each tool and review every line before it ships, with AI-assisted tools speeding up the routine parts.
How we make automations dependable
Hiring a workflow automation agency should leave you with fewer things to watch. Whether it does depends on how the automation behaves on a bad day.
Retries are safe. Connections drop, and services go down for a few minutes at a time. Every automation we build can repeat a step without doing it twice: each invoice, order or message carries its own key, so a retry is recognized as a repeat and skipped.
Failures are visible. When a step can’t finish after its retries, it stops, records why and alerts a named person with what they need to fix it. Every run is logged, so the question “did that go through?” always has an answer.
One process at a time. We start with the process that costs your team the most time, automate it from end to end and let people use it before adding the next. Each part works on its own, so you see the benefit before the next part begins.
The right tool for the problem. If a spreadsheet with a few safeguards does the job, we’ll say so. If Zapier or Make already runs a step well, it stays. Custom code goes where it pays for itself.
What it costs
Every project starts with a free scoping call, where we walk through the process with you. Then you get a written scope and one fixed quote before any code is written. Projects start at $2,500, and the price only changes if the scope changes.
What makes an internal tool or automation bigger or smaller:
- the number of systems involved, and whether they have APIs
- how many exceptions the process has beyond the usual path
- the number of user roles and screens
- data that needs cleaning or moving before the tool can use it
- sensitive data, such as payroll or health records, which needs tighter access and logging
A single automation between well-documented systems is a smaller project. Replacing a spreadsheet that runs a whole department, with several integrations and roles, is a larger one. For the steps from first call to handover, see how we work.

Questions about internal tools.
Should we use Zapier or Make, or build something custom?
If a no-code or low-code tool such as Zapier, Make or Retool runs the process reliably, keep it, and we'll tell you so. Custom code makes sense when volumes are high, the process has many exceptions, the data is sensitive or the monthly fees have outgrown the job. Often the answer is a mix: no-code for the simple steps and a small custom service for the part that keeps breaking.
What happens when one of the connected systems is down?
The automation waits and tries again, and each retry is built to be safe, so the same invoice or order isn't created twice. If it still can't finish, it stops and tells a named person what's stuck and why.
Can it work with our old or in-house system?
Usually. If the system has an API, we connect to it directly. If it doesn't, there are other routes, such as scheduled exports, reading from its database, or the files and emails it already sends. We check which route is reliable during scoping.
How do we make sure the team uses it?
Tools get used when they fit how people already work. We design the screens with the people who do the job and start with the task they find most tedious, so the first thing they see saves them time.
Tell us what you're building.
We'll come back with a clear plan and a fixed quote. No obligation, and no surprise invoices.
Thanks, we've got it.
